Club Physical New Lynn
After his purchase of Club Physical's New Lynn branch from the Club Physical Group in January 2006, owner Rowan O'Connor needed to make several key decisions as he began separating business systems that had previously been shared.
One of those systems decisions was who would take over the payroll processing, which had previously been managed by MYOB. Given the nature of health clubs, Club Physical is open 16 hours a day, seven days a week. This requires Rowan to hire full time and part time staff, employing on average around 17 people.
His own decision as to which provider to go with, was one that pivoted around the payroll software's ability to be flexible. "My role requires a great deal of flexibility, sometimes I may need to be away from the office for a couple of weeks.
Previously, the payroll processing requirements meant that I couldn't be away from work for longer than 6 days as staff needed to be paid weekly. I decided not to employ another part timer just to run the payroll for me - just so I could get away, and instead decided to look for a solution that would allow me the freedom to go to business meetings as required."
After doing some research, Rowan decided on Crystal Payroll as it provided him with the most freedom and flexibility. Rowan chose the 'Bureau' service, and can now confidently delegate faxing of details to Crystal Payroll each week if he needs to get away or, he can do it himself. "It's now as easy as sending through a fax, that's it".
When asked why else Crystal Payroll was his preferred choice, Rowan says he enjoys the fact that he hasn't needed to keep an eye on changes in legislation which used to be so time consuming. "We also don't have to pay for upgrades anymore, which is a big cost saving for us. I can imagine Crystal Payroll suiting most business situations, because it is so flexible."

Quality Marlborough Hotel
As General Managers of the Quality Marlborough Hotel, Kerry Barton and wife Lee are busy people, wearing many different hats as part of their Management roles at the hotel. As many Managers do when they start a new role, Kerry and Lee inherited the systems and processes implemented prior to their arrival.
For the Quality Marlborough Hotel, this included using the services of a local accountant to prepare the pay for their staff of 25 full time, casual and part time staff. “The accountancy service we were receiving was not very good - and it was expensive” says Kerry, which sparked a closer evaluation of the way the pay was being processed.
Prior to switching to Crystal Payroll, Kerry’s team were suffering from working with a supplier who did not keep up with payroll changes and had a high staff turnover. This resulted in many mistakes being made at each pay-run. “Christmas time was always a nightmare to find out who is entitled to what, so having an efficient third party processing our pays keeps us at arm's length from any conflict.”
The first choice Kerry and Lee needed to make, was whether to keep the payroll function inhouse or whether it would be more efficient and cost effective to outsource this to a third party. After talking with three different payroll supplier companies, Kerry and Lee decided Crystal Payroll would be the best solution for their business.
Crystal Payroll provided a solution which would save valuable staff resources in-house which could be used more efficiently on other tasks. Says Kerry “After set-up [of processing to Crystal Payroll] it was a lot smoother and professional, as well as more cost efficient.
We now find it hassle free to simply send our pay sheet through to Crystal Payroll and since moving we’ve had little in the way of problems. If we do have a query, it is answered quickly.”
Kerry and Lee have now been using Crystal Payroll for one year so far, and are thrilled at the ease and efficiency of the process. The business ReiverNet - based in Auckland's Mt Wellington, established itself in the New Zealand hotel industry in 2000, as a preferred hotel supplier of wired and wireless internet connection and roaming services to guests. Being a very technologically-savvy business, it was important that the systems they used to deliver their service were robust and trustworthy.
Margaret Armstrong - Office Manager for ReiverNet, remembers when the business was younger and the requirements of these systems (which included payroll) were much simpler. Now, ReiverNet employ a helpdesk team who manage the enquiries from users of the service around the clock. Hibiscus Medical Centre
Hibiscus Medical Centre started as a small practice 30 years ago, with just two doctors, accommodating the holiday crowds of summer and generally experiencing quiet winters.
In 30 years the area has changed considerably with new motorways from Auckland and more residential settlements. So when Lorraine joined the team 22 years ago, one of the first tasks she was delegated to facilitate the transition from their existing manual payroll system to a (Mac-based) software payroll programme that could handle the growing business.
Lorraine now describes the centres main clientele as family groups who live permanently in the area. "We now have seven doctors and a total of 13 staff, so we found we had less and less time on our hands to cope with a manual payroll system."
Lorraine compared several payroll solutions, though found there was only one solution that provided online hosting in addition to several other key features. The online aspect of Crystal Payroll was a major drawing card, as it allowed access from anywhere, anytime, meaning she wasn't tied to her work computer.

Ascent 3D Print
Purchased five years ago (and established around 2000), Annette and husband John's business Ascent 3D Print, specialises in ceramic and glass printing for the corporate market. Typically their client base is of a more corporate nature, those who seek high profile, maximum exposure from their corporate gift giving.
When the business changed hands, Annette inherited a manual system which was extremely time consuming and left much room for error, which didn't allow for peace of mind. While their team isn't large (they currently employ four permanent staff and several casual staff in peak periods); they do have a couple of curly scenarios that required special attention.
Seeking peace of mind, Annette began to look for a new solution, one that would provide her with efficient, accurate processing "without repercussions". "I wasn't ever sure if I was doing things correctly with our manual system; it really wasn't effective, especially with so many variations".

Henderson's Fine Foods
After purchasing Henderson's Fine Foods in 2006, Harald George identified a few key business systems within the operation that he wanted to change - high on the list was a new payroll programme that would support the structure of the company, and its future growth.
Established in 1990, Henderson's Fine Foods specialise in the production and supply of bacon and ham which is free of chemicals, preservatives, artificial colour, and added water. Their set up is not complicated, however Harald did have some specific payroll requirements that meant that whichever option they chose, it needed to be fast, provide traceability, and cost effective.
After evaluating several options - and deciding on his level of involvement, Harald chose Crystal Payroll.
